1. Go to the "Trips" tab of your dashboard and click "Invite Guest." 

2. Select the purpose of your guest's trip and click "Next Step".

You'll arrive at Pana's guest invite form. Once you get in the flow of filling this out regularly, it often takes less than 30 seconds to complete. 🤗

3. Select “Yes” to all parts of travel and expense that you’d like to cover for this upcoming guest.  

For flights, you can click “Change” to alter defaults such as preferred cabin or preferred route.

For a place to stay, you can click “Change” to alter the hotel rating from 1 stars to 5 stars. 

For centrally billed and arranged ground transportation, you can click “Change” to specify Uber/Lyft, Car Service, Shuttle Service, or Rental Car. 

For expense reporting and reimbursements, you can select who will approve this guest’s receipts. 

4. Add personal details for the guest.

Enter first name, last name, email or phone number for the guest, and then complete any custom field questions that your team has set-up. (These often help bill-back to the correct cost center). 

5. Build the itinerary. 

Enter where the guest is coming from, where the interview will take place, when the first meeting starts and when the last meeting ends. This creates a live summary of possible itineraries. 

You can click “Advanced” to change the # of nights you’ll cover, the possible dates where the guest can arrive or depart, and the preferred origin and destination airports.

6. Review the trip. 

The live budget on the right-hand side is generated through a real-time search of available flight and hotel inventory that fit all trip details. Our agents will only book flights and accommodations that fit within this live budget, and ask you about any out-of-budget requests from guests.*

*There may be exceptions to this rule depending on how your team configured your dashboard. For example, our agents may book your preferred hotel properties regardless of budget or reach out to a different designated point-of-contact if your team’s primary administrator requested that set-up. 

Add any additional notes that you'd like our agent team to be aware of. These will go directly to the agent handling this trip, not the actual guest. 

7. Click "Invite" at the very bottom. 🎉

 Congratulations! You've successfully dispatched your guest's trip with Pana. 

Our agents will reach out to the guest directly within the hour, and begin coordinating travel and any expense reimbursements for their upcoming trip right away.
